Purpose

Provides a variety of administrative support duties for the GP IT Orlando department.

Job Family Specific Responsibilities

Schedules standard appointments and meetings ensuring the established calendar is free. Efficiently schedules meetings relating to specified individuals using Outlook calendar application. Manages meeting logistics, including catering and conference room reservations, managing accommodation blocks.

Coordinates and establishes all domestic & international travel arrangements including VISA procurement (when applicable); reconciles travel and expense reports, including cash, credit card, and international purchases.

Answers, screens, and places phone calls on behalf of the executives. Prepare, composes and edits complex memos, documents and other correspondence. Prepares presentations, reports, spreadsheets and other documents. Maintains database information and distribution list. Organizes and orders office supplies/files. Coordinates department seating plan including desks, telephones and relocation of employees. Responsible for package shipping including international shipments requiring ECC approval and customs invoices. Maintains confidentiality of all sensitive or proprietary information. Knowledge and execution of onboarding / offboarding actions.

Key Qualifications

Performs all the standard, and some specialized or complex aspects within area of specialization. Applies documented rules, past practices, or instruction on an independent level. Effectively identifies problems as they occur and takes appropriate steps to solve them in situations where the problem is difficult or complex. Candidates must be proactive, detailed oriented, can handle multiple interruptions and still maintain focused on the tasks at hand. Must possess demonstrated knowledge of Microsoft office suite, expert in Outlook mail and calendaring. General understanding of end user hardware, mobile devices, USB chargers, cables, Bluetooth speakers, headsets, etc. This position will be highly visible; therefore, the right candidate should have a positive attitude, high energy, and good communication skills with a welcoming personality adhering to Siemens professional appearance standards.

Education

HS diploma or equivalent required. 1-2 years of vocation/technical training or an Associates degree may be required. Specialized skill training/certification may be required.

Knowledge

Demonstrates thorough/advanced knowledge of a specialty area and of tasks and responsibilities.

Experience

Typically, 3-5 years of successful experience in area of responsibility and successful demonstration of Key Responsibilities and Knowledge as presented above.

Working Relationships

Frequent inter-organizational and external contacts.

Working Hours Minimum 3 days / ~20 hours per week - Monday through Friday (schedule to be agreed upon by applicant and hiring manager)
