Position Overview

We are looking for a responsible Executive Administrative Assistant to perform a variety of administrative and assistive tasks. Duties of the Executive Administrative Assistant include providing support to Executive Management, assisting in daily office needs and managing our companys administrative activities.


  • Supports executive leadership with administrative and other organizational tasks
  • Coordinates and networks with other company administrative staff at multiple locations
  • Answers, screens, and places phone calls, and manages in- and outbound correspondence.
  • Organize and schedule appointments, meetings and writes respective minutes and protocols
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Monitors all information flow, including maintaining paper and electronic files
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Order and maintain office supplies
  • Retrieve, sort and distribute mail
  • Coordinates and establishes domestic and international travel arrangements, manages, submits and reconciles travel and expense reports
  • Provide general support to visitors, internal and external
  • Act as the point of contact for internal and external clients
  • Assists in integration of new office technologies and systems as appropriate
  • Coordinate catering set up for meetings and trainings, including all hands meetings and festivities
  • Supports, plans and occasionally attends off site events, including Team Building events, retreats
  • May act as informal lead and support for other administrative assistant staff
  • May substitute for other administrative staff from time to time
  • May involve occasional travel

Required Knowledge/Skills, Education, and Experience

  • 5-8 years of experience as a senior administrative assistant or office admin assistant supporting multiple managers at the same time
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Advanced PC proficiency in software applications including MS Word, Excel, PowerPoint, Outlook, Instant Messaging, and Social Media outlets
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Exceptional written, oral, and interpersonal communications skills
  • Strong organizational skills with the ability to multi-task
