Position Overview

This position will support the Siemens Molecular Diagnostics site in Berkeley by representing the business as front desk support. This includes constant personal interaction with a variety of employees, customers and business partners. This position will also support the site in various activities surrounding meeting and event management to ensure all logistical matters are considered and taken care of. In addition this role will serve as back up to the Administrative assistant of the Head of MDX and work in close cooperation with that role to ensure full support of the MDX management team. The position will also specifically support and report to the Head of MDX Quality & Operations and includes some purchasing related activities in coordination with the facilities team and the Head of Procurement. Responsibilities

  • Front desk duties including but not limited to greeting of guests, signing them in according to EHS guidelines, escorting them to their hosts or meeting rooms, etc.
  • Hospitality activities including coordinating catering activities for various internal meetings, but also external reservations
  • Conference room management, including coordination of various meeting requests from the whole site and supporting any internal event by ensuring facility and IT support as necessary
  • Site event management, including scouting of locations, booking, coordinating relevant activities and supporting events on site. Travel may be required for onsite support.
  • Supporting and reporting to the Head of Finance & Procurement in administrative matters
  • Supporting the Administrative assistant of the Head of MDX with any respective administrative duties and acting as back up to this role
  • Supporting the Molecular Diagnostics management team in administrative tasks like booking of travel, expense reports, etc.
  • Manage indirect procurement activities like purchasing of office materials for the site
  • Supporting the facilities team and the Head of Procurement in various other purchasing activities, e.g. OEM products for the site

Required Knowledge/Skills, Education, and Experience

  • Prior experience in similar role
  • Very good inter-personal skills
  • Positive attitude towards helping the team and the business succeed
  • Hands on mentality and problem solving skills
  • Working knowledge of MS-Office applications like Word, Powerpoint, etc.
  • Requirement to travel is rare, but may occur to support external events
  • Knowledge of SAP, SRM and other procurement related systems is a plus

  • Past experience in administrative role of 2 years or more
  • Excellent inter-personal skills
  • Outstanding positive attitude towards helping the team and the business succeed
  • Problem solving skills and can do attitude for unstructured problems and new situations
