Supports one or more mid-level managers. Works in low to medium-complex environment. Performs routine administrative duties: placing, receiving and routing telephone calls; receiving and directing visitors, typing, filing, faxing, handling incoming and outgoing mail, order and maintain supplies, provide backup coverage to other administrative desks. Has basic to intermediate computer skills including: word processing and spreadsheet software. Possesses strong written and verbal communication skills. Intermediate Microsoft Excel required, Microsoft Word required, Outlook required, Powerpoint preferred. Essential Responsibilities: * Uses a variety of word-processing software to type letters, reports and presentation materials. * May compose correspondence on own initiative for supervisors review. * May include confidential information. * Maintains established databases, generates reports from such data. * May create simple spreadsheets/graphs using departmental software. * Screens telephone calls/visitors, refers to appropriate staff member. * Establishes/maintains departmental filing system. * Sorts and routes department mail. * May take/transcribe dictation, either manually or by machine, into appropriate format correcting grammar, spelling, etc. * May take minutes at a variety of meetings; distribute agenda and follow-up materials. * Excel Spreadsheet Data Entry Additional Requirements: * Proficient with software used by the department (MS Word, Excel, Outlook, Powerpoint). * Intermediate arithmetic, reading and writing skills. * Word-processing speed: 25 wpm required. Typing must be current within one (1) year. * Strong customer service skills required to communicate with members, department clients and staff.
